Re-indexing Content
TL;DR; If a recently uploaded file isn't showing up in Ask Lupo's answers, re-indexing it — or the whole library — is the fix. It's not platform-owner-exclusive: a Knowledge Base Manager can re-index too, and a Company Administrator can re-index a whole library.
Before you start
See Libraries and folders to find the library or file in question.
Steps
From a single file's row menu, Re-index re-sends just that file ("refreshes its searchable chunks"). From a library card on the Libraries list, Re-index re-sends every supported file in it (PDF, TXT, DOCX, MD, and PPTX) so the AI assistant can find them again. Use it when recent uploads are missing from AI answers, or after a bulk import.
A small library re-indexes immediately and shows the result right away. A large one is queued in the background instead — the page tells you it's queued and how many files it has to process, and that you can close the page and it'll keep going.
While it's running, the page shows a live count: how many of the total are done, and how many have failed so far. When it finishes, it reports how many of the indexable files were successfully re-indexed, and names any that failed.
Only one re-index job can run per library at a time — starting a second one while the first is still going just shows you the one already in progress rather than starting a duplicate.
What this doesn't do
Per-file re-indexing (from inside a single file) is platform-owner and Knowledge Base Manager only. Library-level re-indexing is available more broadly, to anyone who can edit the library — a Knowledge Base Manager or a Company Administrator. An archived library can't be re-indexed until it is unarchived.
There's no whole-Knowledge-Base re-index button that spans every library in it at once — re-indexing happens per file or per library.
