Enroll Learners

TL;DR; For an instructor-led class, a seat on the roster comes from registering for the delivery run — learners doing it themselves, when the course allows it, or you doing it from the session's roster page: Add registrant for one person, Import CSV for a whole class list. The course's People page has a Bulk Upload too, but that enrolls people in the course and seats nobody on a run.

Before you start

You need a scheduled session. See Schedule a class if you haven't created one yet.

Steps

  1. Self-service: point learners at the course. They pick a date on the course's schedule and select Register — see Register for a class for what that looks like on their side. This works only while the course's Self-registration setting is on; you'll find it on the course's Settings page, reading either "Learners can register themselves" or "Seats arranged by an instructor or administrator". When it's off, the schedule's Register button is locked and reads Register · Arranged by your team, and the two roster paths below are the only way onto the class.

  2. To seat one person yourself, open the session's roster and use Add registrant — one email address at a time. It registers them on their behalf, applying the run's capacity and the linked self-paced grant exactly as if they had registered themselves. If the address has no Lupo account yet, you're asked whether to invite them.

  3. For a whole class list, use Import CSV on the same roster page. The page it opens is titled Import roster from CSV, and it says what it does: "Everyone in the file is seated on this delivery run — not merely enrolled in the course." Download template gives you the columns — Name,Email. Columns are read by their headings, so only Email is required; Name (or First Name and Last Name) is optional and extra columns are ignored. Those two columns are a subset of the roster's Download CSV, and the import ignores the export's extra columns, so a downloaded roster can be edited and uploaded back. Tick Create accounts for addresses that do not have one to have each new learner get an account and an invitation email asking them to set their own password; leave it off and rows with no matching account are reported rather than registered. Capacity and the waitlist apply row by row, and each row gets a result — "Registered for this session.", "Already registered — left as they were.", "The session is full, so they were added to the waitlist.", or "The session is full and has no waitlist."

  4. The course's Bulk Upload (on the People page) is a different tool. It opens Bulk Enroll Users and takes a CSV with Email (required) plus optional Name and Password columns, enrolling everyone in the file in the course under the role you pick. Its own page says it: "Enrolling here does not seat anyone on a delivery run

    • use the run roster's import to fill a class." Use it to give people access to the course without a class — never to fill one.

What this doesn't do

Bulk Upload does not seat anyone on a session's roster, does not count against a run's capacity, and won't show them to you as registered when you take attendance. If your plan is "import a class list and they're all set," that's the roster's Import CSV, not this.

A roster import or Add registrant seats someone on that one delivery run — registration is per run, so it covers every day in the run and nothing outside it.

Common issues

A CSV-imported learner isn't on my roster. The file went through People > Bulk Upload, which only creates course-level access. Import it again through the session roster's Import CSV, or register them one by one with Add registrant.

"Choose a CSV file to import." (roster import) or "Please choose a CSV file to import." (Bulk Upload) — No file was selected before submitting.

"No email column was found." — The import reads columns by their headings. Rename the column holding the addresses to Email, or start from the downloaded template.

A learner says Register is greyed out, "Arranged by your team". Self-registration is switched off for this course. Seat them from the roster, or turn the setting on from the course's Settings page.
