Close Out a Class
TL;DR; On an instructor-led run, attendance is what completes a learner: each run has a pass mark — Attendance that completes the course, 75% of class days by default — and marking someone present on enough days completes the course for them, with a numbered completion record on a published course. Mark a cohort complete… on the Reports page is the override for everyone else: it marks every learner on one chosen run complete, with an audit reason. Don't confuse it with the roster's Close out session, which only freezes that day's attendance.
Before you start
You need a run with registered learners and attendance marked on its sessions. See Manage the roster and Track progress with course reports.
Steps
Know the run's pass mark. It's set in the run editor under Attendance that completes the course — Every session (100%), At least 75% of days (the default for a new run), or Custom… — and the help text is the rule: "Marking a learner present on at least this share of class days completes the course for them. Cancelled days don't count, and rounding favours the learner: at 75%, a 5-day class needs 3 days and an 8-day class needs 6." A run created before this field existed counts as 100%.
Mark attendance on each session's roster as the class runs. The roster header states the rule in days — "Pass mark: 75% — attend 3 of 4 days to complete" — and each registrant carries Meets pass mark or Needs N so you can see who is above the line. The moment someone crosses it, their course completion is recorded; un-marking them drops it again (though a completion record already issued stays).
When a day is over, Close out session on its roster freezes that day's attendance: you're shown "N of M registrants are unmarked and will be recorded absent." and confirm with Close out — attendance is final. It changes nobody's completion by itself — it only makes the marks you already took final, and unmarked registrants read Absent. Reopen session undoes it if you need to correct a mark.
For learners who didn't reach the pass mark but should still be recorded as complete, open the course's Reports tab and select Mark a cohort complete….
Under Which cohort are you closing out?, pick exactly one run, or Not in a cohort (on-demand registrations) for learners enrolled without ever registering for a run. There's deliberately no "all cohorts" option — choosing nothing refuses the action ("Choose which run to close out. A close-out always applies to one run.") instead of defaulting to everyone. Each option shows "N to mark complete" and "N already complete"; an option with nobody left reads "nobody left to mark" and can't be picked.
Type an Audit reason — required, and stored with the change (the placeholder suggests "e.g. Completed via instructor-led session ADMIN-238").
Select Mark complete. Everyone on that run who doesn't already carry this mark is marked completed (external / instructor-led), and, on a published course, issued a numbered completion record dated today. Learners on the course's other runs are not touched. The count doesn't subtract people attendance already completed — they get the same stamp, which changes nothing about their completion but records it as granted.
To undo it for one person, open their report from the learners table: a Completion granted by an operator panel shows the date and reason, with Reverse this completion, which also withdraws the record it produced. It only reverses a granted completion — if the learner also meets the pass mark, "the completion is theirs on merit and stays".
What this doesn't do
Mark a cohort complete isn't the only way a learner completes an instructor-led course — attendance does it on its own once the pass mark is met. Use the override for the exceptions, not as the routine close.
"Certificate" here means an internal numbered record used for audit and counts, not a document — Lupo issues no certificate PDF, no download, and no page a learner can see. There's currently nothing to hand a learner as proof.
Common issues
The confirm button won't submit. — You need to pick a run and fill in the audit reason; both are required ("An audit reason is required to mark a cohort complete.").
"All active students are already marked as completed." — Nobody on the run you picked was left to mark — nothing changed, and that's not an error.
A learner attended every day but isn't complete. — Check the marks were actually saved as Present on each session's roster, and check the run's pass mark. A cancelled day is out of the count.
